Admission requirements, placement policy, fee structure and transportation for JIS

Admission Requirements and Placement Policy

The basic criteria for placement are the age of the child on September 5th as decreed by The Ministry of Education and the school’s assessment of the child during the admissions process. However, other factors will also be considered, including maturity, previous educational experience, and level of achievement, level of English and Math (at least 60% achievement at the time of entry).

As well, given the international nature of our student population and the varying admissions requirements of other countries then children who do not satisfy the starting date criteria will be considered on a case by case basis by the Deputy Director so that their placement is in their best interests. The school reserves the right to place each child in the class deemed to be most appropriate and beneficial to that child.

The responsibility of The School and Parents

1. The school and its representatives will take all reasonable care to ensure the educational and physical well-being of the student under its care. We undertake to inform parents in a timely fashion of any areas of concern and to work with the parents to reach a suitable conclusion. The school reserves the right to deny admissions or to exclude a child if it feels it cannot offer an appropriate program, if information regarding a child has not been submitted accurately or if the school feels the child is an unsatisfactory member of the school community. In all cases the Directors decision is final.

2. Parents are responsible for getting their child to school:

  1. Punctually by 7:55 am for an 8:00 am a start.
  2. With healthy and nutritious food. Children in KG to grade 2 do not use the canteen
  3. Neatly dressed in the school’s Uniform. PE uniform can only be worn on PE days.
  4. Ready for all lessons with all necessary books and materials.

Registration Fees

  1. Placement Test fees :500 SR (Non-Refundable)
  2. Registration fees: 2500 SR (Non-Refundable)
  3. Discount policy:-5%* for the second child and 10%* for the third child and all other children *(Discount will only be on tuition fee)
  4. 5% discount upon full payment of fee (before the start of school)

New Students:

All fees to be paid in full once the student has been accepted

Returning Students:

All fees to be paid in full before re-starting school

Withdrawal of Students During the Academic Year

  1. Students are accepted for a maximum of 90 school days (not including holidays and weekends)
  2. During this period no refund of tuition for withdrawal, absence or dismissal will be made.
  3. In the case of a company transfer, notice in writing to this effect should be given to the Admissions Office as early as possible and must be received at least 45 school days (not including weekends or holidays) before the intended withdrawal date. No refund shall be made after the expiration of the notice period. All other withdrawals require 90 school days’ notice in writing to the Admissions Office.

Non-Payment of Fees

Where school fees remain unpaid 5 working days after a student has been admitted, the school may regrettably be left with no choice but to have the child stay home until school fees are paid.

Where school fees remain unpaid reports or other school documentation shall not be released until the money is paid in full. Under no circumstances will a student be allowed to return to school where school fees for any period remain unpaid.

@ 5% penalty of remaining balance past the due date will be charged in case of late payment.

Bus transportation

The school provides bus transportation within the Jeddah area. Bus fees are to be paid for one term in advance and this payment must be paid within 5 days of the student starting school.

NOTE: We have limited seats and the school reserves the right to refuse transportation facility to anyone either in case of non-availability of the seat(s) or due to non-compliance with school terms & conditions.

STUDENTS’ ADMISSION

JIS considers students for admission based on their ability to succeed in the school’s program. Placement depends on a comprehensive and holistic review of the child:

1) The student’s past years’ report cards.

2) Confidential recommendation letters from the previous School Principal/Head (when necessary).

3) All available standardized test scores.

4) Psycho-educational assessments (when necessary).

5) Student interview.

6) English assessment results (conducted at JIS).

7) Math assessment results (conducted at JIS).

 

ADMISSIONS TEAM

The file of any student seeking admission has to be reviewed by the following members of the professional team in descending order, before admission is granted:

  1. The Admissions Officer
  2. The Section Principal
  3. The Director/Assistant Director

 REGISTRATION PROCEDURE BY THE PROSPECTIVE PARENT

Step 1. The first point of contact is the Admissions Officer/Student Affairs. His/her role is to give general information about the school and details on admission procedures. He arranges for parents to meet the Section Principal.

Step 2. The Section Principal briefs the parent about school programs, and expectations from the parent and student, as well as shared obligations and responsibilities. School Coordinators and/or Admin’ Officer provide a school tour if required.

Step 3. Parent completes the application and submits it with all requested documentation to the Admissions Officer. N.B. Reports/records must be certified translations in English or French.

 

Step 4

  • Admissions Officer follows the entry of admission procedure.
  • Admissions Officer ensures that all requested pieces of information are provided.
  • Admissions Officer arranges with the School Counselor for any testing needed.
  • School Counselor/Admissions Officer completes an assessment of the child and includes test and evaluation form in the application.
  • Admissions Officer submits completed file to the Section Principal for class placement.
  • The file then moves to the Director/Assistant Director for approval of admission.

Please note that once the Director has offered a place in the school, then new students would require permission from The Ministry of Education. This original permission form and all relevant documents must be in the student’s file before he/she can join JIS.

  1. Please note that it usually takes 2-3 days to process an application.

 

Step 5. 

  1. Parent pays School fees.
  2. The Admissions Officer follows up with the following:
  1. opens a file for the student, (both as a hard copy and on the database/network)
  2. enters all information on database/network,
  3. updates class list and includes any specific notes e.g. Support
  4. updates school list,
  5. informs accountant,
  6. Informs Section Principal using the Student Entry Form.  a student can start classes two days after the file goes to The Section Principal.

Step 6.

  1. The Section Principal informs all teachers of new arrival and gives them a copy of the Student Entry Form.
  2. The Coordinator and teacher confirm that all books, materials, desk, etc. are ready for the student.
  3. Teachers might wish to have a conference with the parent & student to explain class routines & curriculum prior to new student arrival.

    Step 7. 
  1. Accountant registers payment as per invoice and issues receipts accordingly. All receipts and invoices are registered onto the fees spreadsheet.
  2. The Section Principal/ Section Coordinator welcomes new student and family and escorts him/her to class.

ADMISSIONS DOCUMENTS REQUIRED

The following documents are necessary for each potential student's cumulative file: (the file must be completed before the potential student is given a placement test at JIS.)

    • The Registration Form.
    • Five recent passport size photos.
    • Copies of all previous school records, including the most recent report card.
    • A clear copy of the passport information pages for each potential student and their father/guardian.
    • A copy of the Iqama (the potential student must be shown on parents’ Iqama). Family ID (for Saudi students).
    • For students transferring to JIS from another school in Saudi Arabia, a completed transfer certificate is necessary. This may be obtained from the student’s previous school attested by the official authorities (Ministry of Education). Students transferring from schools abroad need to have their school reports attested by the official authorities, which are Ministry of Education and Ministry of Foreign Affairs from the countries they’re coming from.

ADMISSIONS CRITERIA FOR GRADES 9-12 (ENGLISH SECTION ONLY)

It is our preference that students graduate from our Middle School, complete the four-year High School Program and meet the criteria for a JIS/MSA/AdvancED High School Diploma stated for grades 9 - 12 below. Students coming from any other school will get a JIS/MSA High School Diploma if they meet the following conditions:

  1. They have met the criteria for admissions entry to the school which includes completion of Placement test and have Ministry approved original reports from the previous school(s) that confirm core subjects as equivalent to those at JIS.
  2. They have the Ministry’s new approval to enter an International School form.
  3. They have completed all JIS credit/course requirements.

SCHOOL FEES POLICY

  1. Application fees: Nonrefundable Application fee per student is required.
  • Placement Test Fee: Non-refundable Placement Test Fee for Grade 1 to Grade 12 is required before registration can take place.
  • For New Students or Returning students: All fees to be paid in full once student has been accepted or BEFORE re-starting school. Request for changes to the payment schedule must be made to the Director in writing and then approved by him in writing.
  • School Fees include ONE set of regular school uniform (Parents need to purchase PE uniform and all additional sets), Yearbook, Student Photo Package, Start of year stationary items for elementary levels.
